Ideas for Committees – Scheduling your Caucus
As an experienced chair I have run a number of caucuses. Choosing the date and the venue is the first step. The venue must be ADA compliant. When picking the date in a nominating year, I work hard to pick a date that is available to as many people as possible, since typically people have to be present to run. In an issues year, with certain restrictions, usually you can run even if you are not present. When there is a month long caucus window, committees that meet monthly would likely have a meeting date within the window. Many committees find it helpful to do the caucus in conjunction with their regular meeting. Depending on the size of your delegation and how competitive it is, this is usually doable. When scheduling a caucus in conjunction with your meeting, the caucus must be at a time certain. You can schedule your meeting “immediately following adjournment of caucus” but not the reverse. If you prefer to have your meeting first, that’s fine, but the caucus mu! st be at a time certain. The time submitted to the MassDems must be the time of your caucus. Doors must open at least a half hour in advance, but that is not the time you should use in the MDP listing. Local publicity should be clear; if you list the doors open time then also list the caucus start time. 
CONVENTION AND CAUCUS TIMELINE 
April 19th: Deadline for submitting caucus date and location to Mass Dems. 
May 11th to June 16th: Caucus window. 
September 14th: State Convention, MassMutual Center, Springfield 
OTHER CHANGES: This is the third year in which pre-registered Democrats can take part in our caucuses and run for delegate. Under state law citizens who are 16 and 17 can pre-register to vote. This year, as long as a person is 16 years of age or older on May 11th, and is a registered or pre-registered Democrat as of the day of the caucus the person can participate in a local caucus.
